TRAVEL AUTHORIZATION

Mandatory Advance Travel Approval

To receive reimbursement for travel expenses associated with an interview at a site, all participants MUST obtain advance approval by submitting a Site Visit or Relocation travel request through your NHSC Customer Service Portal account at least 14 days in advance of your interview date. If you are notified of a last-minute interview, please be sure to submit your site visit request in the NHSC Customer Service portal as soon as possible.

NHSC Regional Analyst Coordination and Travel Request Submission

You must have your Regional Analyst verify that the site you want to travel to for an interview meets your NHSC contract requirements. Once this has been confirmed, submit your request at least 14 days prior to your planned travel to ensure that there is ample time for your travel request to be reviewed and approved, and to allow adequate time for your assigned Travel Coordinator to make the best value arrangements. (Keep in mind that optimizing the efficiency of each site visit is crucial, as it directly impacts the funds available for additional site visits. By ensuring cost-effectiveness in every visit, we can maximize our budget for further visits.)

Approval Confirmation Process

After submitting your travel request in the NHSC Customer Service portal, the NHSC will confirm the HPSA score of your selected site to assure that it meets your HPSA score requirement. Site Visit travel requests to unapproved sites, or to sites that do not meet your NPSA score requirement will not be approved. A decision to approve or deny your Site Visit travel request typically takes three business days once all necessary information has been received. You will be notified of the status of your travel request through the Customer Service portal. The decision to approve or deny a submitted travel request is not determined by the NHSC Transition to Service contractor. Any questions concerning the approval of a submitted travel request should be discussed with your NHSC Regional Analyst.

Approval Notification and Travel Management Coordination

Once your site visit travel request has been approved, you will receive email notification from the NHSC. The NHSC Transition to Service contractor will also send you an email request to create your Travel Management portal login credentials and schedule a Site Visit travel planning appointment.
