HRSA Relocation Approval

Important Document Submission to HRSA

There are four documents you will need to submit to the NHSC after you have completed your site search process and are planning your relocation to service. All four documents must be submitted before you can participate in a Government Managed Move as defined within the Relocation Option Tab. The four documents are:

  1. Results of Board/Certification Exams 
  2. Unrestricted-State License 
  3. Offer Letter 
  4. Acceptance Letter

As you receive these documents, they should be uploaded to your NHSC Customer Service Portal account Use the Important Documents Checklist with the Guides to keep track of what you will need to submit to the NHSC. 

Uploading Important Documents to the Customer Service Portal

You are expected to upload documents listed in the Important Documents Checklist to your Customer Service Portal account as you receive them. The NHSC has asked that you do not wait until you have all documents to submit them through the Customer Service Portal. 

 

To upload documents in your Customer Service Portal, select the Site Search link under the “Activities” Section on your main portal page, this will then take you to the Site Search Support page. Please refer to the Scholar and Students to Service Reference Guides available within the Reference Tab of this website. 

 
If you have any questions about this process, contact your NHSC Regional Advisor. If you have technical issues regarding the Customer Service Portal, NHSC has requested that you contact the Customer Care Center at 1-800- 221-9393, Monday through Friday (except federal holidays) between 8:00 a.m. and 8:00 p.m. ET. 

Request to NHSC for Relocation Support

Before the Travel Management Coordinators can initiate relocation planning, you must request relocation approval from the NHSC. There are a couple of important points to remember:

  1. If you live within 50 miles of your new job location or residence, you are NOT eligible for NHSC funded or supported relocation services. 
  2. Once you have accepted a job and submitted all four NHSC required documents, you are ready to actively plan a move to your new location. 
  3. The NHSC provides assistance for your initial relocation; it does not provide any relocation support for additional transfers, or moves, beyond your first NHSC-approved site. 

To start the relocation process, you must sign-in to the Customer Service Portal and submit your online request for relocation. At this point the NHSC will verify that all of the required documents (see the Important Document Submission overview above) have been uploaded, the NHSC will issue a relocation approval to Transition to Service. 


After receiving the NHSC relocation approval, a Travel Management coordinator will contact you to coordinate your move. The NHSC requests that you give the NHSC and the Travel Management contractor as much advance notice as possible. A minimum of at least 21 business days is needed to organize your move. This notice provides the travel & relocation coordinator with enough time to get three estimates, select the best value moving company, and ensure your move can be completed on the requested move date. 

 
All relocations must be approved prior to the actual move! All moves must be requested through the Customer Service Portal before any relocation arrangements can be made. 

Important Reminders

Transition to Service travel coordinators cannot support your relocation planning or select a moving company until:

  • Your relocation is approved by NHSC
  • The NHSC will not start to work on any relocation activities until a valid job offer and acceptance letter have been received and uploaded. 
  • Failure to obtain approval prior to relocation may result in you not being reimbursed for your relocation expenses. 
  • You are advised not to travel, relocate, or make any commitments related to relocation, without first receiving confirmation from the NHSC that your move has been approved. 

Relocation FAQs

Question: Am I required to get three estimates for my self-move?

Answer: You are required to obtained three estimates for self-moves from properly certified moving companies. Your Transition to Service Site Visit and Relocation Specialist will provide you with a list of recommended companies to select for estimates.

 
Question: I have a Conditional Relocation Approval; how do I submit my request for Standard Approval?

Answer: As noted earlier, there are four documents you will need to submit to the NHSC before you can participate in a Government Managed Move or to be reimbursed for a self-move originally completed under a conditional status.

Note: If you currently have a Conditional Approval, you must submit a new request to obtain a Standard Relocation approval so you can be reimbursed for relocation expenses.
