Relocation Overview

The NHSC contracts with CivilityMS to provide relocation planning and reimbursement guidance for participants relocating to an NHSC-approved site that meets the required Health Professional Shortage Area (HPSA) score.

To begin the relocation and reimbursement process, participants must first obtain NHSC approval by submitting a Relocation Request at least 21 business days in advance, or as soon as you upload the NHSC Offer & Acceptance Employment Form  to begin the relocation process.

Refer to the NHSC Scholar Website, Step #3, for instructions. We strongly recommend you submit 30 business days in advance during peak relocation season (May – September) for Federal Funded moves. You must receive pre-approval from NHSC to be reimbursed for eligible relocation expenses.

The NHSC offers two types of relocation approval to begin relocation planning.

    1. You will receive Standard approval if you upload all (3) employment placement documents when you submit your relocation request.
    2. You will receive Conditional Approval if you are unable to upload all (3) required employment placement documents when you submit your request (e.g. if you are still waiting for your license or board scores).

Note: You still must obtain Standard approval to receive full reimbursement of allowable expenses by uploading all three (3) required employment documents and submitting a new relocation request.

Once CivilityMS is notified of your conditional or standard relocation approval,  we send the participant an email from hrsa-s2s@transitiontoservice.com with instructions to create a CivilityMS Travel Management Portal account, if applicable, and to schedule a Relocation Planning appointment.

Confirm your email address and phone number in the My BHW portal is correct so CivilityMS can contact you.
